Fund Admin

Fund accounting, capital activity, NAV and carry, finally in one place.

Fund Admin gives your finance team everything it needs to run the fund with confidence: double-entry books for every vehicle, capital calls and distributions with polished PDF notices, management fees and expenses, subscription lines, and the quarterly NAV, carry and ILPA statements, with bank reconciliation built in from the start.

Key capabilities

Fund ledger

Every vehicle keeps its own double-entry books on a chart of accounts designed for private debt and mapped to IFRS and Lux GAAP. Loan cash, fee deferrals, accruals and fair value or ECL movements arrive as proposed journals, ready for review, and once a journal is posted it can only ever be reversed.

Fund structures

Model your structure exactly as it is, with main, parallel and feeder vehicles, fee and currency share classes, economic terms that keep their full history, and each vehicle’s look-through share of the loans.

Capital calls and distributions

Calls and distributions are allocated across investors pro rata to commitments, unfunded commitments or paid-in capital, and the awkward cases are handled properly too: excused investors, side-letter terms, equalisation at later closings, transfers, commitment changes and recallable distributions. Every allocation reconciles to the cent.

Investor notices

Each investor receives a clear, professional PDF notice showing amounts by purpose, their commitment before and after, and the fund’s bank details. It reaches them as a secure link rather than an attachment, and a delivery receipt confirms that every email has arrived.

Fees and expenses

Management fees are calculated for each investor straight from their terms, whether they are charged on commitments, invested capital or NAV, with step-downs, offsets and waivers applied for you. Expenses sit in a register that takes care of VAT, caps and accruals across the service period.

NAV and carry

Quarter-end becomes a well-trodden path. Work through the checklist, allocate the result to investors after equalisation, explain the movement with a NAV bridge and run carry through a European, American or high-water-mark waterfall, before four-eyes sign-off locks the quarter.

ILPA statements and net performance

Publish an ILPA-format capital account statement for every investor, and report net IRR, TVPI, DPI and RVPI by investor and by vehicle, both with and without the effect of the subscription line.

Bank and payments

Bring in bank statements from CSV or camt.053 and match them to the books. Distributions and supplier payments leave as SEPA pain.001 files only after a second controller has approved them, and DebtLab itself never moves money.

Reconciliation controls

Prove the numbers at any date you choose. Reconciliations run across every vehicle with each figure recalculated from source, checking capital accounts against NAV, feeders against the main fund, loans against Loan Admin, and fees and carry against the terms.

Controls built in

  • Calls, distributions, payment files, journals and NAV sign-off are prepared by one controller and approved by another
  • Posted journals are protected at database level and can never be edited
  • No capital call goes out without approved KYC and an accepted subscription, and no payment without verified bank details

A capital call and its notices

See a capital call prepared by one controller, approved by another and allocated across investors, with a PDF notice issued to each of them. Receipts are then matched to the bank statement, and the reconciliation flows into the quarter-end NAV.
